Your information
Privacy notice
Privacy information for the Bishop’s Cleeve Running Club website.
Who is responsible?
Bishop’s Cleeve Running Club is part of Cheltenham Running & Walking Club, operated by STS Fitness Ltd. STS Fitness Ltd is the data controller. Write to 40 Gotherington Lane, Bishop’s Cleeve, Cheltenham, Gloucestershire, England, or email [email protected]. Conor Graham is the club’s privacy contact.
Browsing this site
The website is hosted by Cloudflare. Requests can disclose technical information such as your IP address, browser information and requested URL to the hosting provider so it can deliver and protect the service. See Cloudflare’s privacy policy for its processing and retention arrangements.
This site’s code does not set cookies or browser storage, load Microsoft Clarity, run advertising pixels or use visitor analytics. Fonts and images are served with the site. We use information necessary to run a reliable, secure website on the basis of our legitimate interest in providing it.
Enquiries and interest forms
If you contact us, we receive the information you provide. Beginner and Runner interest forms ask for your name, email, telephone number and running level so the club can respond and explain an appropriate next step. You may choose not to give these details, but we may then be unable to answer or arrange the service you request. Keep passwords, card details and sensitive health information out of general enquiries.
The Adventure Run email-interest form asks for your email and explicit consent to Adventure Run emails; it is separate from event booking and other marketing. GenieAI, provided through HighLevel, handles these interest forms. The embedded form loads when you visit a page with a form, which contacts this external service and may involve its own cookies or storage. When you submit the form, the details you provide are sent to the club through GenieAI. You can also use the direct form link or contact the club by email.
We respond using our legitimate interest in helping prospective participants. Where you ask to arrange a trial or membership, we may also process information to take steps at your request before a contract. Registering interest is separate from agreeing to receive marketing. Marketing preferences and any consent choices should be shown where information is collected; you can unsubscribe or contact us to withdraw consent.
Campaign links
Links can include a leaflet source, UTM values or advertising click identifiers. The site carries recognised values between its pages and into the form on that page so the club can understand an enquiry’s source. Do not include personal information in a link. We do not place advertising trackers on this website.
Other services and suppliers
MyCRWC accounts, event booking and payment checkouts are separate services with their own forms and requirements. This site does not collect card details or create member access. No registration or account is required to attend Cleevelands Free 5K.
Authorised club administrators and providers needed for hosting, enquiries and communications may process information. Some providers process data outside the UK, including HighLevel in the United States. The wider club policy describes contractual transfer safeguards; contact us for information or a copy of safeguards applicable to your data.
How long information is kept
Enquiry information should be kept while responding and arranging the requested next step, then reviewed according to whether an ongoing club relationship exists, a marketing preference remains valid, or a complaint or legal claim needs resolving. Unneeded information should be deleted rather than kept indefinitely. Hosting providers apply their own technical-log retention arrangements.
The published club policy gives typical periods of two years after membership ends, six years for financial records and annual review of photographs kept for up to five years. These relate to separate club records rather than ordinary browsing here. See the wider club privacy policy for membership, coaching, photography and payment information.
Your choices and rights
Depending on the processing, you can ask to access, correct or delete your information, restrict its use or receive a portable copy. You can withdraw consent where it is used.
You can object to processing based on legitimate interests and to direct marketing. Email the privacy contact above. You can also complain to the Information Commissioner’s Office.
Updates
We will update this notice when the website’s processing changes. Please contact us if you have a question about how your information is used.
